Another SMART Customer: SAIC Up and Running with AssetSmart

Following only four short months of planning, configuration, data migration and training, SAIC has gone live with Phase 1 of its implementation of AssetSmart’s global asset management software.

Phase 1 includes implementation of SMART/PEMS and SMART/TMAS in an off-the-shelf configuration without any customization.

“SAIC really wanted to demonstrate that by forgoing some of the customization projects which often plague software implementations, we can get a workable system up and running in a relatively short time. We had a cohesive, smart internal team pushing this project through and solid support from AssetSmart. As a result, we came in on time and under budget,” said Cinda Brockman, VP, Director of Corporate Property at SAIC.

SAIC, one of the largest federal government contractors with over 44,000 employees worldwide, manages millions of items of government property and has adopted an enterprise-wide, single-instance deployment of AssetSmart to manage all government property and material, and provide automated logistics, movement and government reporting mechanisms in conjunction with SAIC’s highly-evolved business processes.

Lessons Learned:

No large scale software implementation is ever perfect, but the lessons learned through individual implementations can benefit current and future customers as they upgrade or install new software.  We asked Cinda Brockman to share with our customers and prospects some of the lessons learned from SAIC’s implementation of AssetSmart.

  • Before going live it would have been nice to have an extra week or two to complete more extensive quality assurance testing. Although we are working through the small issues that have arisent, I think rollout could have gone even more smoothly with additional resources applied to the QA part of the process.
  • Perhaps we could have phased out the different modules, i.e. installed SMART/PEMS first, after working thorugh the implementation of that piece, installed SMART/TMAS.
  • Hindsight, it would have been better to have our "go live" date earlier or after October 31, 2008 when the 1018s and 1662s were due.

Some of the items that stood out as being relatively easy and powerful were the back-end set up of the reference tables, the data migration and the software installation itself, all of which went very smoothly. For the data migration, SAIC used AssetSmart’s BAPI import tool which imports data directly from the legacy SQL database into a staging table in AssetSmart. Then SAIC ran SQL scripts to insert the data through the web interface the same way the data would have been entered manually, ensuring data quality and enforcing data validation rules.

AssetSmart recently expanded its formal training program and services, and SAIC provided an excellent opportunity to conduct several training sessions. Employing a team training methodology, SAIC and AssetSmart jointly conducted sessions led by AssetSmart’s in-house training associate Jennifer Kennihan and Cinda Brockman, SAIC, enabling more than forty power users to obtain valuable hands-on practice before going live with the new system.

“Our goal when we kick-off a new customer implementation is to set their expectations at the front-end, so that we are all on the same page as we move through the process,” said Robert Kaehler, Senior Vice President of Sales and Marketing at AssetSmart. “SAIC understood what was and wasn’t possible, put an outstanding team on the project, and are seeing the fruits of their labor today.”
